Resources for running a wine club

Working documents and calculators for the people who actually pack the boxes and bill the run.

Everything on this page is meant to be used during a club run rather than read once and forgotten. The run sheet gets filled in as the shipment moves, the margin calculator gets argued over with a partner, and the packing day planner gets checked before you book a carrier pickup. Nothing here asks you to install anything or change how you work.

The library grows out of the same work CellarShip does: allocation, holds, per state checks, billing, and the packing line. If you are early in building a club, start with the run sheet and the checklist article behind it. If your club is established and the argument is about money, start with the cost per box calculator and bring the result to your next partner meeting.

A short page on who writes Cellar and Club, why the reporting stays on the working side of a small winery, and how to reach us with a question about your own club run.

The routine behind all of this

The run sheet, the billing checklist and both calculators describe one routine: lock the wine, clear the states, honor the holds, bill, then pack. CellarShip runs that routine and keeps the record once the shipment closes. Ask for a walkthrough against your own club list and see where it saves you a day.
